The dimensions of data quality give you a structured way to answer a deceptively simple question: is this data good enough to use? Instead of guessing or relying on gut feel, dimensions let you measure quality along specific axes — accuracy, completeness, consistency, and more — so you can pinpoint exactly where problems live and fix them systematically.

Most guides stop at definitions. They'll tell you what each dimension means, give you a textbook example, and move on. That's useful — but it doesn't help you when you're staring at a CRM full of 80,000 contacts and wondering where to start.

How to Score Each Dimension Against Your Database

Once you know which dimensions to prioritize, you need to measure them. Not with opinions — with numbers. Here's how to calculate a score for each dimension, using examples from a typical B2B CRM.

Accuracy score

Accuracy is the hardest dimension to measure because it requires a source of truth to compare against. You can't tell whether a job title is accurate just by looking at your CRM — you need an external reference.

  1. Pull a random sample of 200–500 records.

  2. Verify each record against an external source (LinkedIn profiles, company websites, a data enrichment provider).

Benchmark: A healthy B2B database typically sees 70–85% accuracy on job titles and 85–95% on email deliverability. Below 70% accuracy on critical fields means your outreach is probably underperforming.

Completeness score

Completeness is straightforward: count how many records have all required fields populated.

How to measure it:

  1. Define which fields are required for each use case (e.g., outbound prospecting needs first name, last name, email, company, job title).

  2. Query your database for records missing any required field.

  3. Calculate: (records with all required fields ÷ total records) × 100.

Benchmark: Aim for 90%+ completeness on critical fields. If you're below 80%, consider data enrichment to fill the gaps.

Consistency score

Consistency measures whether the same data is stored the same way across systems and fields.

How to measure it:

  1. Pick a field that exists in multiple systems (e.g., company name in CRM, marketing automation, and billing).

  2. Export and compare values across systems for the same records.

  3. Calculate: (matching records ÷ total records compared) × 100.

Common inconsistencies to check: Company name variations ("IBM" vs. "International Business Machines"), date formats (MM/DD vs. DD/MM), phone number formatting (with/without country code), industry classifications (different taxonomies across tools).

Timeliness score

Timeliness measures whether your data reflects current reality. In B2B, this mostly means: how recently was this record verified or updated?

How to measure it:

  1. Check the "last modified" or "last verified" timestamp on each record.

  2. Define a freshness threshold (e.g., records older than 6 months are "stale").

  3. Calculate: (records updated within threshold ÷ total records) × 100.

Benchmark: B2B contact data decays at roughly 15–30% per year. If more than 40% of your records haven't been touched in 12 months, you likely have a serious timeliness problem.

Validity score

Validity checks whether data follows the correct format and rules.

How to measure it:

  1. Define format rules for key fields (email must contain "@" and a valid domain, phone must have the right number of digits, country must match an ISO standard).

  2. Run validation checks against every record.

  3. Calculate: (records passing all validation rules ÷ total records) × 100.

Red flags: Email fields containing "test@test.com" or "N/A," phone fields with "000-000-0000," country fields with free-text entries instead of standardized values.

Uniqueness score

Uniqueness measures your duplicate rate.

How to measure it:

  1. Run a deduplication scan across your database using matching rules (e.g., same email address, or same first name + last name + company domain).

  2. Count the number of duplicate clusters found.

  3. Calculate: (unique records ÷ total records) × 100.

Benchmark: Most B2B CRMs have a 10–30% duplicate rate. Below 5% is excellent. Above 20% means your lead routing, reporting, and forecasting are likely compromised.

Step 1: Define scope

Don't audit everything at once. Pick one data domain — usually contacts or accounts — and one collection (e.g., all contacts created in the last 12 months, or all contacts in your active pipeline).

Step 4: Build a fix list

Prioritize fixes by impact. A timeliness score of 62% probably hurts your outbound team more than a uniqueness score of 88%. Focus on the dimensions that are furthest below threshold and tied to your highest-impact workflows.

Automate validation at the point of entry

Treating all dimensions equally

Not every dimension matters the same amount for every team. A 95% validity score on phone number formatting is meaningless if your accuracy is at 60% and reps are calling the wrong people. Prioritize by business impact, not by what's easiest to measure.

  • Accessibility — Can the people who need the data actually get to it? A perfect dataset locked behind an admin-only query is functionally useless.

  • Coverage — What percentage of your fields have active quality checks? Fields without monitoring can fail silently, letting errors spread undetected.

Whether you track five dimensions or twelve depends on your organization's maturity and your specific use cases. The key is to start with the core six, get reliable scores, and expand as your data quality practice matures.
